How to Use the Invoice Quick View Panel

Navigate the Invoice, Activity, Notes, and Payments tabs in the quick view panel.

The Quick View panel lets you access invoice details, history, and actions without leaving the invoices list. Click any invoice row to open it on the right side of the screen. It's organized into tabs, each surfacing a different layer of information.

Opening the Quick View Panel

From the Invoices list view, click anywhere on an invoice row. The Quick View panel slides open on the right side of the screen. To close it, click the X in the top corner of the panel or click away from the row.

Quick View Icons and Controls

At the top of the Quick View panel, you'll find a set of controls for common actions:

  • Eye icon — Opens the client-facing view of the invoice so you can see exactly what the client sees.
  • Pen icon / Edit button — Opens the full invoice editor.
  • More menu — Reveals additional actions including Refund, which opens the Return Item flow. You can also access the Refund option from the Actions menu on the invoice row in the list view.

Invoice Tab

The Invoice tab is the default view and displays a summary of the invoice:

  • Invoice number, date, and due date
  • Client name and project
  • Line item summary with totals
  • Any refunds issued and credits applied
  • Current status

This tab gives you a fast read on the invoice without needing to open the full editor.

Activity Tab

The Activity tab shows a timestamped log of everything that has happened on the invoice. Any time a designer, admin, or account user makes a change, it will be recorded here. Events include:

  • Invoice created
  • Invoice sent (including who sent it and when)
  • Client viewed the invoice
  • Client approved or declined
  • Payments recorded
  • Refunds issued
  • Signature applied
  • Any edits or status changes

Activity is read-only and cannot be edited or deleted. It serves as your audit trail for all invoice interactions.

Note: If there is a specific event you'd like to see tracked in the activity feed that isn't currently recorded, you can submit a feature request directly from the platform.

Notes Tab

The Notes tab is a free-text workspace for internal notes related to this invoice. Use it to log a quick note if a client says something about the invoice, track follow-up actions, or flag anything that requires attention. Notes are internal only and are never visible to the client.

Payments Tab

The Payments tab shows all payment activity recorded against this invoice:

  • Payment date
  • Amount received
  • Payment method (credit card, debit card, bank transfer, cash, or other)
  • Running balance after each payment

Use this tab to record payments made outside the platform — for example, a check or wire transfer received directly. Each payment recorded here will update the invoice's total balance. See the article on recording payments for full instructions.

Note: Credits issued via refund are attached to the client account, not to a specific project. This means a refund credit can be applied toward any future invoice for that client.
