Product Selection Approvals

A specialized embed card that asks your client to approve or decline a product right inside the channel. Faster than email back-and-forth, and the answer is logged.


Sending a product for approval

  1. Open the project channel

  2. Click the + in the message composer → Product Approval

  3. Pick the product(s) you want approval on

  4. Add a note ("Three options for the master bedroom — pick one")

  5. Send

The client sees an approval card per product with:

  • Product image + name + client-facing name

  • Price

  • Approve and Decline buttons

  • A note field for their comment


What the client experiences

In the Client Portal (or in Comms directly), the approval card looks the same as for you with the action buttons enabled. Clicking Approve or Decline:

  • Logs their decision on the product record

  • Updates the card in chat (everyone now sees the decision + timestamp)

  • Pings you in your Comms inbox

The product's status badge changes accordingly so it shows up correctly in your Catalog filters.


Multi-product approvals

Send a batch — e.g. three lighting options for the same room — and the client picks one with Approve and declines the others. Each decision is logged separately.

You can also send a single product to multiple clients in the channel; each client's decision is tracked individually.


What approval triggers

  • Approved product — status updates to Approved; appears in your "ready to PO" filter

  • Declined product — status updates to Declined; archived from the active selection

  • Audit trail — every decision is logged with the timestamp + client name on the product record

You can also generate an Invoice from the approved products directly from the chat — click the action menu on a batch of approvals → Create Invoice from Approved. Workroom pulls the approved products and builds the invoice line items automatically.


Good to know

  • Approvals are reversible by the designer. Open the product → flip the status. The chat card shows the new state.

  • Clients can't undo. Once a client clicks Approve or Decline, they can't change it. They need to ask you to flip it.

  • Notifications fire on every decision. You'll see it in the Comms inbox + bell icon.

  • Bulk approvals roll up. If you send 10 products and the client approves 7, you see a roll-up summary instead of 10 individual confirmations.


Troubleshooting

"The client says they clicked Approve but I don't see it." Refresh the channel. If still missing, check the product record — the status will show the latest decision regardless of the chat card.

"I want to remove an approval card." Delete the message (action menu → Delete) and the card goes with it. The product's status stays at whatever was last logged.
