Generating Advanced PDF Spec Packages

Advanced PDF Spec Packages allow teams to generate highly customized FF&E schedules, specification books, procurement reports, and presentation-ready client documents directly from the Products module.

These exports are designed to support internal operations, procurement coordination, vendor communication, installations, and client-facing presentations.

Accessing Advanced PDF Exports

  1. Open the Products module

  2. Click Export in the top-right corner

  3. Select PDF Export

This opens the advanced export customization panel.

Export Organization Options

Schedules can be organized automatically using multiple grouping structures.

Available grouping options include:

  • Project

  • Room

  • Category

  • Vendor

  • Status

  • Tags

This allows firms to generate schedules tailored to procurement teams, installers, vendors, clients, or internal operations.

Paper Size & Layout Options

Advanced PDF packages support multiple export layouts, including:

  • 11x17 layouts

  • 8.5x11 layouts

Different layouts may be more appropriate depending on whether the export is intended for presentation, procurement, or installation workflows.

Customizing Visible Data

The export panel allows teams to control exactly which information appears in the final schedule.

Customizable fields include:

  • Client-facing product names

  • Sub-items

  • Markup visibility

  • Specifications

  • Details columns

  • Procurement fields

  • Financial information

  • Status tracking

  • Vendor information

  • Location codes

Header & Display Customization

Teams can further customize the appearance of exported schedules.

This includes:

  • header font adjustments

  • column visibility

  • document formatting

  • schedule organization

Terms & Conditions

Terms and conditions can be added directly to the bottom of the export.

This is commonly used for:

  • pricing disclaimers

  • lead time disclaimers

  • shipping policies

  • approval terms

  • procurement limitations

Saving Export Presets

Export presets allow teams to save frequently used export configurations.

For example:

  • client presentation packages

  • construction schedules

  • procurement reports

  • installation schedules

  • vendor-specific exports

Presets help standardize exports across projects and teams.

Best Practices

  • create separate presets for internal and client-facing schedules

  • verify financial visibility before exporting

  • group schedules based on operational workflows

  • use sub-items for layered procurement packages

  • review specification fields before sharing with vendors or installers

Operational Tip

Many firms generate multiple versions of the same PDF package for different stakeholders, including clients, procurement teams, installers, accounting teams, and vendors.
